Frequently Asked Questions

A driver qualification file is a collection of documents and records proving that a driver has completed any required training and is legally authorized to drive the type of commercial motor vehicle (CMV) assigned to them. It helps ensure compliance with regulatory and National Safety Code (NSC) requirements.

Essential documents include the driver's completed application form for employment, a copy of the driver's abstract dated within 30 days of hire, annual updated copies of the driver's abstract, the driver's employment history for the preceding 3 years, records of the driver's convictions of safety laws, records of any administrative penalties imposed on the driver, records of all collisions involving the driver, records of all training taken by the driver, and copies of any training certificates issued.

The definition of a commercial motor vehicle (CMV) varies by jurisdiction. For example, in Alberta, a CMV is defined by its registered weight, which differs for provincial and federal status. In British Columbia, it includes trucks or truck tractors with a licensed gross vehicle weight exceeding 5,000 kilograms. Each province and territory has specific criteria for defining CMVs.

Driver file requirements can vary significantly by province. For instance, Alberta requires an employment application, copy of the driver's license, road tests, work history, driver abstracts, driver training records, and records of driver convictions. Other provinces may have different requirements, such as annual driver fitness reviews or specific training records.

To ensure compliance, it's important to understand the specific requirements for each province where your drivers operate. Regularly update and review driver abstracts, maintain accurate records of training and certifications, document all traffic offenses and administrative penalties, and keep detailed records of all reportable collisions. Following best practices and staying informed about regulatory changes will help you maintain compliant driver qualification files.
